Begin with the apology to let the reader know that you care. I was sorry to hear that Mr. Myles Malanchuk, a Standard Brush salesperson, was rude to you. Thank you for bringing this matter to my attention. Your letter will help us improve our service.
      
Do what you can to explain and correct the situation. I will have the field manager talk to the salesperson about his behavior.  While I can't explain his rudeness, I can assure you that Standard Brush sets high standards for courtesy and expects every salesperson to meet those standards.
     
Although sales material is inappropriate, do something for the reader if possible. Because you were nice enough to take the time to write, I am sending you a complimentary set of Standard Brushes.  You'll receive them in about two weeks.
