Begin by asking the most important question. What are the new guidelines governing interviewing and hiring women and minorities?

Provide any information necessary for the reader to help you solve your problem. I know that the laws have changed recently, and I want to ensure that we are in full compliance before we start interviewing for our new Director of Communication. Because many of the applicants for the position are women, I want to be sure that our screening practices are objective. I can't tell from the applications how many of the applicants are minorities.

Ask any additional questions. Use a numbered list if you have several that require separate answers. Has our Company policy on Affirmative Action been revised since the new laws went into effect? Would a complete copy of our policy help? If so, I'd appreciate receiving one. If not, I'd appreciate your suggestions for procedures that will help ensure our compliance with both the letter and the spirit of the new legislation.

Set and justify an end date when appropriate. As we will need to begin screening applicants by the 30th of June, I would appreciate your comments and suggestions by the 20th.
